The Documents You Need to Get Funded

A checklist by product. Having these ready is the difference between funding in 24 hours and funding in three weeks.

Funding speed is almost entirely a documents problem. The programs that advertise same-day funding mean same day from a complete file. Here is what complete means, by product.

Everything, always

  • Basic application: legal entity name, EIN, entity type, address, ownership.
  • Business bank statements — all pages, all accounts, as PDFs downloaded from your bank. Not screenshots. Three months is the minimum a lender will look at; send twelve if your business is seasonal, for the reason below.
  • Government-issued photo ID for each owner above the ownership threshold.
  • A voided check or bank letter for funding instructions.

For a large share of fast approvals, that is the entire file.

Add for a term loan or line of credit

  • Most recent business tax return, and personal returns if the entity is young.
  • Year-to-date profit and loss and balance sheet.
  • A short debt schedule: who you owe, the balance, and the payment.

Add for SBA (the heaviest file)

  • Three years of business and personal tax returns.
  • Personal financial statement for every guarantor.
  • Interim financials, debt schedule, and a use-of-proceeds breakdown.
  • For acquisitions: the purchase agreement plus the target's financials.
  • For real estate: purchase contract, and be ready for appraisal and environmental reports.

Start collecting this the day you decide to pursue SBA, not the day the lender asks.

Add for equipment financing

  • The vendor quote or invoice — make, model, serial where available, and the total including delivery and installation.
  • Vendor contact details, since the lender usually pays them directly.

Add for invoice factoring or A/R

  • Aged accounts receivable report and aged payables.
  • Sample invoices and your customer list, since your customers' credit is what gets underwritten.
  • Any existing lien or UCC filings against receivables.

Add for real estate and fix & flip

  • Purchase contract, rent roll and operating statements for income property.
  • Scope of work plus contractor bid, and a defensible after-repair value for flips.
  • A schedule of your prior projects — at least three properties owned, bought or sold in the last 36 months is the published experience requirement.

The $250,000 line — where the file gets heavier

This one threshold decides how much work you are in for, so it is worth knowing before you start assembling anything.

If you are close to that line, ask whether you genuinely need $280,000 or whether $240,000 does the job — the paperwork and the timeline change completely on either side of it.

Send twelve months, not three, if you are seasonal

Most brokers ask for three months, because three is the minimum that moves a file. If your business is seasonal, that habit can cost you real money.

Work it through. A landscaping company in the northeast applies in February. Its three most recent months are November, December and January — the worst quarter it has. An underwriter reading only those months sees a small, weak business and prices accordingly, or declines. The same company's twelve months show a healthy operation with a predictable winter dip and a strong May through September. Nothing about the business changed. Only the window did.

So if you are seasonal — landscaping, snow removal, tax preparation, resort-town hospitality, pools, roofing, holiday retail — send twelve months. It is one afternoon of extra work and it is the difference between being underwritten at your worst and being underwritten at your real size. The point is not to pick a flattering window: if your recent months are unusually strong and the year behind them is thin, a lender will want the year anyway. The point is to be judged at your true size rather than at an accident of the calendar.

Two habits that cut days off funding. Keep a single folder with twelve months of statements refreshed monthly, and never send a partial file "to get started." An incomplete submission goes to the bottom of an underwriter's queue and often comes back as a decline that then has to be re-shopped.
